Poppy Estate Golf Course: Terms & Conditions 

  

1. Tee Time Reservations 

  • Public Players: May book tee times up to 7 days in advance. 

    • Booking online allows 16 hours in advance to cancel or remove players from your tee time through our online system. 

  • Season Pass Holders: May book tee times up to 14 days in advance. 

    • All season pass holders MUST book online and cancel online. 

  • All spots in bookings are reserved only for golfers. 

  • All golfers must have their own set of clubs or must rent from the ProShop. 

  • Check-in: All golfers must check into the Pro Shop 15 minutes prior to their scheduled tee time. 

 2. Weather & Rain Checks 

  • Inclement Weather: Cancellation fees may be waived only if you call the Pro Shop prior to your tee time. Playability is determined solely by Poppy Estate Golf Course Staff. 

  • Rain Check Policy: Rain checks are not offered. Players must decide to play before paying green fees. 

  • Course Closure: If the Superintendent deems the course unsafe (e.g., lightning), a two-hour waiting period applies before a pro-rated credit is issued. 

  

3. Liquor & Conduct Policy 

  • Zero Tolerance: Only alcohol purchased at Poppy Estate Golf Course is permitted. Outside alcohol will be confiscated. No "tailgating" or consumption is allowed in the parking lot confiscated.

  • Conduct: Harassment of staff will not be tolerated. Violators will be asked to leave, their tee time cancelled, and 100% of green fees will be charged. 

   

4. Course Etiquette & Safety 

  • Dress Code: Neat and presentable clothing only. This includes collared shirts and clean technical trousers. No ripped/soiled clothing, jogging pants, or tank tops. Soft-spikes or soft-soled shoes only (no heels or boots).

  • Safety: For insurance purposes, walkers or caddies are not permitted on the course. 

  • Juniors: Minimum age is 8. Golfers under 13 must be accompanied by an adult guardian who is also golfing. 

  

5. Power Carts  

  • Drivers must be 19+ and must present a physical, valid driver’s license (BC or equivalent) and valid credit card at check-in.

  • The signatory of this agreement assumes all liability for loss or damage to the power cart, regardless of the authorized driver at the time of the incident during the rental period.

  • Carts must stay 50 feet away OR stay on the cart path around all greens and tee boxes. 

  • Cart path only on all Par 3s. 

  • Any carts booked on our booking system will send an email confirmation displaying cart prices PER-SEAT. Please note that at check-in, if there is only 1 person riding the cart, a solo fee of $30.99 will be charged for that player ONLY (unless specified otherwise due to special fees).

6. Cancellations & No-Show Policy

  • Booked Online: Cancellations must be made through our online booking portal up to 16 hours in advance.

  • Booked by Phone: Cancellations must be made by calling and speaking directly to a staff member during proshop business hours (from the first tee time to the last tee time of the day), up to 24 hours prior to your tee time.

  • Please Note: Cancellations are NOT accepted via VOICEMAIL, EMAIL, OR TEXT MESSAGES.

Late Cancellations & Rebooking 

   - If you miss the cancellation window, please notify us as soon as possible. We will make every effort to rebook your tee time. The earlier you let us know, the better our chances of filling the spot, which may help you avoid the late cancellation fee. -

    Fees

  • Late Cancellation / Partial No-Show: A charge of up to $35 per player will be applied to the credit card on file for cancellations made past the required notice period, or if you arrive with fewer players than originally booked. Cancelling within less than 1.5 Hours is considered a No-Show.

  • Group No-Show: 100% of the green fees (charge) will be applied to the credit card on file if the entire group fails to show up for their tee time.

   

LEGAL NOTICE & WAIVER

Assumption of Risks: I agree to assume all inherent risks and hazards of golfing, including but not limited to stray golf balls, power cart accidents, slips and falls, weather conditions, wildlife, and the actions of other persons.

Release of Liability: I waive any and all claims and release Poppy Estate Golf Course (and its directors, employees, and agents) from any liability for loss, damage, expense, or injury, including death. I understand I am waiving my right to sue, even if the injury or loss is caused by the NEGLIGENCE of the course, a breach of contract, or a breach of any duty of care owed under the British Columbia Occupiers Liability Act.

Jurisdiction: I agree that any legal disputes will be governed solely by the laws of British Columbia and handled exclusively within BC courts.

I HAVE READ AND AGREE to the Assumption of Risk & Release of Liability Waiver. I also agree to the Cancellation & No-Show Policy, and I authorize Poppy Estate Golf Course to automatically charge the credit card on file for any applicable late cancellation or no-show penalty fees.
